Terms & Conditions

These are the terms and conditions between GulfVisa Ltd (“GulfVisa”) and an applicant (“Applicant”) is a person applying for a visa and/or stamping of documents and other supporting services.

GulfVisa will do its best to give you the service that you request and take care of applicant documents.

The applicant should use the correct form and submit the correct relevant papers in accordance with the service required. If in doubt you need to contact us, the embassy or the department from where you need the service. An application will not be submitted if the application received from the applicant is incomplete. GulfVisa has the right to refuse any request at its own discretion.
GulfVisa does not guarantee success of every application as only embassies and departments have the power to accept or refuse the applications. GulfVisa advise their applicant in good faith about the requirements of the embassy to secure the visa or stamp the document but GulfVisa cannot hold responsibility or liability in case of delay or rejection of the application.

Once GulfVisa receives the completed and correct documents for the service requested, GulfVisa will submit them to the relevant embassy or department in UK.

A payment must be included in advance to cover all the fees. Applications received without correct payment are considered incomplete and will not be submitted for processing.

Any change of fees, requirements and time on the day of submission must be accepted and met by the applicant. The applicant accepts any delay that is caused by an embassy or department without any responsibility or liability to GulfVisa. GulfVisa takes no responsibility or liability for delay of processing the applicant’s paper that might be caused by disruption on the underground train, buses or by a traffic jam, or sudden illness or personal emergency of the member staff responsible to do your papers on the day of submission / collection

GulfVisa will not held any responsibility or liability for expenses and /or delay arising from or in connection with incomplete application forms or incorrect or falsely completed application form or inaccurate or incomplete supporting documentation.   

GulfVisa is not responsible for any decision made by a relevant authority not to issue the required visa or stamp the document or issue one different to that requested.

It is the applicant’s responsibility to check if he/she received the service he/she requested. In the case the applicant did not receive the service he/she asked for, due to GulfVisa error or omission, then the GulfVisa liability is strictly limited to the cost of a replacement visa document stamp or a refund of all fees paid. GulfVisa cannot accept any responsibility for any other loss, damage, or consequential loss such as, but not limited to: lost profits, lost income or lost airfares. 

Any applicant or travel agent or someone who has sent GulfVisa documents on behalf of person (s) will be held responsibility and liability to ensure that all forms, papers and fees to get the service they have requested are correct.

If the passport/document is returned without a visa/stamp from the embassy/department, GulfVisa will contact the applicant explaining the reasons given by the embassy/department for why the visa /document has been declined, if Gulfvisa has been informed. GulfVisa can resubmit the application after following the instructions of embassy or department for the declined passport/document if allowed; this may incur an extra fee.

GulfVisa excludes all liability for any claim arising from any act undertaken for an applicant unless the applicant can prove that GulfVisa caused the applicant to suffer loss. GulfVisa has a limited liability of £100 if GulfVisa has caused an applicant to suffer loss; the applicant accepts this limited liability.

GulfVisa will not be responsible for any loss, delays, damage caused by a third party, including all embassies, Government offices, Royal Mail and all other third parties. This does not affect the applicant’s statutory rights.
GulfVisa reserves the right to raise its charges at any time with or without prior notice.

Consular fees and availability of services are subject to change without notice.
GulfVisa provides information using its best knowledge to achieve accuracy, but this cannot be guaranteed. GulfVisa therefore does not warrant this site's contents, and excludes any implied warranty.

GulfVisa, nor any entities from which they receive information, nor any entities with whom their site is linked, shall be liable for any decisions made on the basis of the information provided.

GulfVisa will do its best to update information concerning the requirements to obtain various services but does not accept any responsibility or liability if the information for visas and documents stamping have not been updated, or for errors/and or omissions for the service required.

Whenever GulfVisa receives any personal data from a client, as defined by the Data Protection Act 1998, it shall ensure it fully complies with provisions of the Act and only deals with the data to fulfil its obligations under the requested job to do for the client. Gulfvisa shall allow its staff an access for the information that needed to ensure completion of the job requested

 

We cannot and do not guarantee that everyone's application will always be successful - whether it is down to our knowledge or the authorities. Therefore, please note that with all our services the success or failure of an application or service will always ultimately lie with the relevant embassy / organization / institution. This includes any unforeseen rules etc. which may have been introduced unknowingly. 

 

 

Privacy Policy

We do not store debit/credit card details nor do we share customer details with any 3rd parties

 

Refund / Cancellation Policy

Any refundable fee will be returned within 7 working days of sending back the documents.

If the applicant withdraws the application before GulfVisa starts processing the documents, only the postage fee will be charged and the remaining fee will be fully refunded within 7 working days of sending back the documents.

If GulfVisa has already started the application process, GulfVisa have the right to charge for handling charges and any payments that have been paid to embassy/department which are not refundable in addition to the postage fee. 

If rejected by embassy, GulfVisa will refund any money refunded from embassies or departments. GulfVisa has the right to charge handling and postage fees when returning rejected or incomplete applications.

If the application is unsuccessful due to substandard work by GulfVisa, GulfVisa liability is limited to making a full refund to the client of all fees paid. GulfVisa cannot accept any responsibility for any other loss, damage or consequential loss arising from delay to, or failure of, any application.

 

Delivery Policy

The passport and/or document should either be collected from our office during our opening times or posted to the applicant using Royal Mail Next Day Delivery - Before 1pm (inside the UK) or an overseas delivery service (e.g. DHL). This takes 1-5 working days to deliver depending on the destination of the documents (please acknowledge the exact delivery time is subject to the couriers policy). Please acknowldge that their may be different public holidays in other various countries. All types of delivery require a person to be present at the address to sign for the package.

GulfVisa will not be responsible for any loss, delays, damage caused by a third party, including Royal Mail, UPS and DHL. This also includes delivery by courier. This does not affect the applicant’s statutory rights.

GulfVisa Ltd reserve the right to let customers know of any extra charge/fee in special circumstances (e.g. insurance). Please note that our prices do not include overseas delivery (outside the UK) or courier services. This will come at an extra cost. 

Please note that the free delivery only includes 'UK Royal Mail Special Delivery Next Working Day - Before 1pm' delivery

 

Credit or Debit Cards - Payzone:

All credit or debit card transactions are undertaken by PayZone. There is no surcharge (0%) for the use of a credit or debit card to the customer (as per the new law introduced early 2018)

 

Translation

We will start the translation work as soon as we receive the document unless otherwise agreed by us, delay shall not entitle you to reject any delivery or performance or to repudiate the Contract. Where we have agreed in writing to a date for delivery of the Translated Works then time will be considered of the standard.

We will not be liable in any circumstances for the consequences of any delay in delivery or performance or failure to deliver or perform if the duration of the delay is not substantial or if the delay or failure is due to an act of nature, fire, inclement or exceptional weather conditions, industrial action, hostilities, governmental order or intervention (whether or not having the force of law) or any other cause whatever beyond our control or of an unexpected or exceptional nature.

Posting or dispatch to a carrier (including post, facsimile, e-mail) for the purpose of transmission to you shall, for the purposes of the Contract, constitute delivery to you. Risk in the Translated Works shall pass to you on dispatch.

You warrant, represent and undertake that the materials submitted by you shall not contain anything of an obscene, blasphemous or libellous nature and shall not (directly or indirectly) infringe the Intellectual Property Rights of any third parties.

You are responsible and liable to the source or owner of the material you asked us to translate whether it is private or not private documents belong to you or your company, or family or any other people.

 

Applicants contracting with GulfVisa agree that English Law governs this contract and the EEA is the contracting party in this agreement.
